Clinica  ·  Patient leak calculator

Most of your enquiries never become patients.

Eight questions about how enquiries move through your clinic. No rates to look up — answer what you know, and we'll work out what the gap costs you.

Calls, WhatsApp messages, Instagram DMs and web forms. A rough count is fine.

Who picks up when an enquiry comes in? Including evenings, Fridays and public holidays, when a lot of aesthetic enquiries land.
How quickly does someone reply? Be honest about the typical case, not your best day.
What happens between booking and the appointment? Reminders are the single biggest lever on people turning up.
How often does a patient come back? Used only for the lifetime figure, not the headline.
How this is calculated

We assume the best a clinic can do is turn 20% of every enquiry into a patient who attends. Spam, price-shoppers, wrong-treatment messages and duplicates live in the other 80%, and are never counted against you.

Your answers set three rates: how many enquiries get a reply, how many of those book, and how many booked patients turn up. Multiplied together, they predict your monthly patients. If you entered your real number, that number wins — the model never argues with your books.

Against that we run the same funnel at best-case rates, which multiply to exactly that 20%:

Enquiries answered
Answered enquiries that book
Booked patients who attend
Enquiries that become patients

The difference is your leak, split across the three stages in proportion to how far each of your answers sits below the benchmark. The headline counts one treatment per patient. Repeat treatments are shown separately, because the honest number matters more than the big one.

The 20% ceiling and the stage rates are industry-typical figures, not a published UAE study. Treat the result as a well-argued estimate, not an audit.
